Founded in Chicago in 1876, Sacred Heart Schools at Sheridan Road (Hardey Preparatory for Boys and Academy of the Sacred Heart for Girls are independent, Catholic, single-sex, elementary schools committed to academic excellence within the context of a Christian, faith-based community.  The educational mission is deeply rooted in the 200-year tradition of the Society of the Sacred Heart and shared with the Network of Sacred Heart Schools located in 30 countries; including 24 schools in the United States and Canada.  The essence of this tradition is the total development of each child: spiritual, intellectual, social, emotional, and physical. Our girls and boys are taught in single-sex classrooms but follow a similar curriculum and share in many activities.  With a total enrollment of approximately 700 students, the Schools are organized into three academic divisions, each led by a division head.

Position Description:

Reporting to the Human Resources Director, the Human Resources Coordinator commits to the School’s mission, as expressed in the Goals and Criteria, to create and contribute to an excellent workplace.  The Human Resources Coordinator provides assistance with and facilitates varying human resources activities in conjunction with the Human Resources Director.  This role assists with full cycle employment and contributes to the employee experience including recruitment, onboarding, payroll, compliance, and other projects as assigned.  The Coordinator also provides administrative support, including recordkeeping, file creation/maintenance, and HRIS entry (through ADP).

Essential Job Functions:

Recruitment

  • Post open positions, both internally and externally
  • Review resumes and conduct initial phone interviews, liaising with hiring managers to provide feedback and hiring guidance
  • Schedule interviews with hiring managers, team interviews, and demos for eligible candidates
  • Maintain ApplicantStack recruitment system

Federal Work-Study Program with Loyola University

  • Work with the Student Life Coordinator to identify staffing needs and assist with interview process
  • Administer paperwork and background screening to all Work-Study students
  • Submit reimbursement requests and inform students of need to request appeal of funds
  • Distribute Work Study evaluations to Work Study employees and supervisors

Pre-Employment Background Screening

  • Administer background screening processes for new hires/volunteers/current employees
  • Manage eApps database, ensuring clearances and compliance
  • Manage Virtus database and schedule VIRTUS trainings onsite, as needed
  • Check references as needed

New Hire Paperwork and Onboarding

  • Administer new hire paperwork and enter in ADP database (payroll, time off, and benefits modules)
  • Complete I-9 forms and verify I-9 documentation
  • Create and maintain all employee files in accordance with the filing system

Benefit Enrollments and Billing Reconciliation

  • Assist with benefits enrollment process; work closely with Director on annual benefits open enrollment
  • Work with broker and staff accountant to ensure employees are enrolled properly and troubleshoot reconciliation variances between insurance billing and deduction reports
ADP
  • Assist with payroll processing
  • Train employees on registration and utilization of ADP, including time entry and time off requests, and supervisors on timecard approvals
  • Monitor time off balances and audit balances for accuracy; replenish at year end
  • Run necessary ACA reports and approve 1095-C forms in ADP system

Other

  • Respond to employment verifications and file documentation
  • Assist with performance evaluation administration
  • Work with Human Resources Director on proofing spreadsheets/documents and responding to surveys
  • Assist with research for policies, training, strategic planning, and other human resource activities
  • Fulfill other responsibilities as assigned by the Human Resources Director which are subject to change at any time including to satisfy a reasonable accommodation or for other reasons
Qualities and Requirements:
  • Bachelor’s degree required; human resources studies preferred
  • 2+ years human resources experience, to include recruitment
  • MS Office and database experience (ADP or other payroll software preferred)
  • Excellent interpersonal and customer service skills
  • Solid written and verbal communication skills
  • Ability to maintain a high level of professionalism and confidentiality
  • Detail oriented with the ability to multitask and stay organized
