School Description
Founded in Chicago in 1876, Sacred Heart Schools at Sheridan Road (Hardey Preparatory for Boys and Academy of the Sacred Heart for Girls) are independent, Catholic, single-sex elementary schools committed to academic excellence within the context of a Christian, faith-based community. The educational mission is deeply rooted in the 200-year tradition of the Society of the Sacred Heart and shared with the Network of Sacred Heart Schools located in 30 countries; including 25 schools in the United States and Canada. The essence of this tradition is the total development of each child: spiritual, intellectual, social, emotional and physical. Our girls and boys are taught in single-sex classrooms, but follow a similar curriculum and share in many activities. With a total enrollment of approximately 600 students, the Schools are organized into three academic divisions each led by a division head.
Position Description
The Admissions Office, together with the offices of Development and Communications, make up Sacred Heart Schools’ Department of Institutional Advancement. The Institutional Advancement team works collaboratively to build understanding and support of the Schools’ mission and programs, to invite families to join the school, and to secure resources to enhance the Schools and ensure its future. Collectively and individually, the team strives to model the values expressed in the Goals and Criteria of Sacred Heart education.
The Assistant Admissions Director for Data and Marketing works as one of four team members in a dynamic and service-oriented PK-8 Admissions Office responsible for enrolling nearly 100 new students annually. The Assistant Director supports the efforts of the Admissions Team as they lead prospective families through a personalized admissions process from inquiry to matriculation, including onboarding and planning retention events, and meeting budgeted enrollment goals. The Assistant Director also oversees the data collection systems used by the Admissions Office to process, evaluate, select, enroll, and onboard prospective students and families. The individual works closely with Ravenna and Blackbaud to customize systems to meet the unique needs of Sacred Heart Schools and to ensure the smooth intake and easy accessibility of applicant information. The Assistant Director partners with the Admissions Director to develop and execute marketing for enrollment strategies. Taking part in the ongoing life of the school, the Assistant Director interacts regularly with the community, and may be asked to take on special projects for the Admissions Director or the Head of Institutional Advancement.
Essential Job Functions:
Admissions Process
Collaborates with the Admissions Team as they lead prospective families through the admissions customer journey that includes:
- Promoting the Schools’ mission and programs via information sessions, interviews, and tours
- Responding to prospective parents’ inquiries, questions, and concerns in a timely, accurate fashion
- Welcoming, supporting, and facilitating new family/student communications, onboarding, and orientation activities from point of enrollment through the opening of school, ensuring each family’s smooth transition
- Supervises the maintenance of applicant records, including security, quality controls, and preservation of applicant confidentiality.
- Oversees the implementation of the Schools records retention policies related to applicant information.
- Works closely with the Admissions Director in preparing reports on admissions-related data to inform institutional decision-making related to admissions activity, admissions demand, selectivity and enrollment yields, and student body composition and diversity.
- Provides reporting and analysis of admissions-related data including Opening Enrollment Reports, Weekly Enrollment Progress (February - June), and forecasting enrollment projections for future years.
- Oversees the documentation and execution of data entry including creating and updating records in Ravenna and Blackbaud, preparing records for the Director of Tuition Assistance, and working with the reenrollment process.
- Prepares all data systems for the annual launch of the admissions season
- Cleans data regularly to ensure consistency and accuracy, moves data between systems, closes the season in all systems, and implements annual maintenance procedures
- Ensures the Admissions Office complies with the school's records retention policies as well as maintains and disposes of data and records
- Prepares materials for the use of the Admissions Committee as they review applicant files and works closely with the Admissions Director to communicate the committee's decisions to applicant families
With the Admission Director and Marketing Communications Team, helps develop Admissions, Recruitment, and Retention Plan to target prosepctive families and achieve admissions goals.Evaluates marketing related to enrollment efforts, including ROI strategies.
- Uses data and analytics to understand and segment target audiences and tailor messaging
- Utilizes research and demographic information to inform marketing and recruitment strategies
- Manages strategies to engage and nurture leads prior to and during the Admissions journey
Qualifications:
Skills:
- Bachelor’s degree required
- Experience working with database systems
- Adept in using Microsoft Office and Google suites; Ravenna, Blackbaud or Finalsite experience a plus
- Admissions and marketing experience recommended
- Strong technology skills and keeps up to date with new technologies that can benefit the department
- Exceptional written and oral communication skills, including composition and editing
- Superb organizational skills
- Strong interpersonal and problem-solving skills, and the ability to exercise appropriate independent judgment
- Attention to detail; commitment to maintaining data integrity
- Ability to work occasional evenings and weekends
